Review response generator
Responding to reviews is the highest-leverage reputation work most businesses skip. A reply signals to the next reader that someone is paying attention — and on a negative review, a calm public response often matters more to future customers than the complaint itself.
Generate a review response
How to reply to each kind of review
| Type | What a good reply does |
|---|---|
| Positive | Short, specific, and not copy-pasted. Reference what they actually mentioned. Identical replies under every review look automated to readers and platforms alike. |
| Neutral | Acknowledge what worked, own what did not, invite a direct conversation. These convert to positive more often than any other type. |
| Negative | Stay calm, do not argue the facts publicly, apologise for the experience, and move specifics to a private channel. You are writing for the next reader, not the reviewer. |
| Fake or malicious | Reply once, factually and without heat, then use the platform's reporting flow. Never accuse someone publicly. |
Mistakes to avoid
- Revealing customer details. Never confirm what someone bought, when they visited, or any personal information they did not post themselves — that can breach privacy rules and always reads badly.
- Arguing in public. Even when you are right. Future customers read the tone, not the facts.
- Copy-pasting one reply everywhere. It removes the entire signal value of replying.
- Offering compensation publicly. It invites bad-faith reviews. Move it to private contact.
- Replying only to positive reviews. The negative ones are the reason anyone reads the replies.
- Waiting weeks. Reply within a few days while it still looks responsive.
Frequently asked questions
Should I respond to every review?
Respond to all negative and neutral reviews, and to positive ones as capacity allows. Replying only to praise is visible and undermines trust.
How do I respond to a negative review?
Acknowledge the experience, apologise without arguing the details, and move the specifics to a private channel. You are writing for future readers, not to win the exchange.
Can I get a fake review removed?
You can report it through the platform's flow. Reply once factually in the meantime so readers see your side, and never accuse the reviewer publicly.
How fast should I reply?
Within a few days. Fast replies read as attentive; replies weeks later read as damage control.
